Terms & Conditions

Scheduling Priorities

Ice shall be allocated based on the following priorities:

  • Events – International, National, Provincial
  • City of Brandon Programs
  • School Division – Joint Use Bookings
  • Regular User Groups
  • Casual User Groups

 

 

Booking Requests

There shall be one booking request intake for the Fall/Winter Season, and one booking request intake for the Spring/Summer Season annually.

The Fall/Winter Season booking request intake deadline shall be June 1, annually. The Spring/Summer Season booking request intake deadline shall be January 1, annually.

Arena Ice Booking Requests must be submitted online, and can be found at www.brandon.ca

Based on booking requests, ice shall be allocated, and draft permits shall be given to Facility User Groups by;
Fall/Winter Season – July 1
Spring/Summer Season – February 1, annually.

Permits must be signed and returned within 15 business days.

Any remaining ice, once the Fall/Winter and Spring/Summer Seasons have been allocated will be sold on a first come, first served basis.

User groups may be asked to move or cancel bookings to accommodate priority bookings, such as playoff hockey games.

 

Refunds & Cancellations

All refunds and cancellations will be administered as per the Parks & Recreation Services Refund Policy (Effective May 1, 2020).

All Casual User Groups, as determined by Parks & Recreation Services, must pay for their bookings prior to use.

All Regular User Groups, as determined by Parks & Recreation Services, must pay for their bookings within one month of receiving their invoice.

Monthly penalty of 1.25% will be applied on the first day of each month for overdue invoices.

All bookings must be booked and used by the registered group/individual. Third party transfers must be approved by management PRIOR to use. Third party transfers must be paid for prior to use at the rate the user group falls under.

Regular User Groups: Once rental agreement is signed the user group is responsible for paying for all bookings, minus approved transfers. No refunds will be given. Third party transfers must be approved by management prior to use.

Casual User Groups: User groups must give 7 days’ notice to cancel a regular booking with no charge. If the cancellation is within the 7 day period, the user group must pay for their booking.

Regular User Groups: Once rental agreement is signed the user group is responsible for paying for all bookings, minus approved transfers. No refunds will be given. Third party transfers must be approved by management prior to use.

Casual User Groups: User groups must give 7 days’ notice to cancel a regular booking with no charge. If the cancellation is within the 7 day period, the user group must pay for their booking.

Management may approve on a case-by-case basis, a short notice cancellation at no charge for user groups during the playoff season or extenuating circumstances.

User groups may be asked to move or cancel bookings to accommodate priority bookings. For example: hockey playoffs or provincial swim meets.

If a facility is closed part way through a booking, due to circumstances outside of the user’s control, the user will receive a prorated refund.

If a facility is closed for an entire booking, due to circumstances outside of the user’s control, the user will receive a full refund.

 

Account Standings

Any User Group with outstanding invoices of 90 days or greater shall be subject to the cancellation of any future bookings.

 

Continuity of Ice Time

Efforts will be made to ensure Regular User Groups have first access to the ice times they have utilized in past years. However when reasonable, the City will recognize a new ice program, organization or emerging ice sport and will make reasonable effort to allocate ice time to it.
